Privacy and data
Privacy policy
This policy explains what information Visual Chats processes, what it uses it for, and what controls you have, with particular detail about the Google Calendar connection.
Last updated: September 10, 2026
1. Scope and controller
Visual Chats provides tools to run conversations, coordinate artificial intelligence agents and human agents, and manage appointments. This policy applies to the website, the application, and the integrations that Visual Chats makes available to its users.
Visual Chats acts as the data controller for the accounts it manages directly and as a service provider for the information its customers add to the platform. If you use Visual Chats through an organization, that organization may also set its own privacy rules.
Google Calendar specific disclosure
2. Google Calendar data we use
Visual Chats accesses Google Calendar only after you authorize the connection through Google’s consent screen. Depending on the features you enable and the permissions shown on that screen, we may process:
- Connection identification: the identifier and email address of the connected Google account.
- Available calendars: the name, identifier, time zone, and basic properties of the calendars you have access to, so you can choose which one to use.
- Availability: free or busy intervals of the selected calendars, to show available times and avoid conflicts.
- Event data: the identifier, title, description, date and time, time zone, location or meeting link, attendees, and response status of the events that Visual Chats needs to create, display, reschedule, or cancel at the user’s instruction.
- Authorization credentials: the OAuth tokens needed to keep the authorized connection active. Visual Chats does not receive or store your Google password.
We do not access other Google data or calendars that are not included in the permissions you accept. We request only the permissions needed for the scheduling features you enable.
3. What we do with Google Calendar data
We use this data exclusively to provide visible scheduling features: letting you select a calendar, checking availability, suggesting times, creating appointments, syncing changes and, when you request it, rescheduling or canceling events related to Visual Chats.
We do not sell Google Calendar data. Nor do we use it for advertising, to build commercial profiles unrelated to the scheduling feature, or to train general-purpose artificial intelligence models.
Visual Chats’ use of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.
4. Other data we may process
- Account and contact data, such as name, email address, organization, and preferences.
- Conversations, files, and operational data that you or your organization process through Visual Chats.
- Technical and usage information, such as IP address, device, access logs, errors, and security activity.
- Support information you choose to share when you ask for help.
5. Purposes and legal bases
We process information to provide and maintain the service, authenticate users, carry out instructions, protect accounts, prevent abuse, resolve incidents, comply with legal obligations, and improve the reliability of our features. When an integration requires consent, you can withdraw it at any time.
6. Sharing and service providers
We may share information with providers that help us host, protect, monitor, or provide Visual Chats, only under instructions and confidentiality measures. We may also disclose it when necessary to comply with the law, protect rights, or respond to a valid request from an authority. We do not allow these providers to use Google Calendar data for their own advertising purposes.
7. Retention and deletion
We keep data only for as long as necessary to provide the service, fulfill the purposes described, and meet legal or security obligations. When you disconnect Google Calendar, we stop requesting new data and delete or invalidate the associated access tokens. Synced information is removed from active systems when it is no longer needed, except for limited records we must keep for security, fraud prevention, or legal compliance.
8. Your controls and rights
You can disconnect Google Calendar from the integration settings and also revoke Visual Chats’ access from the third-party connections page of your Google Account. You can request access to, correction, portability, or deletion of your data through the support channel available in your Visual Chats account. If your account belongs to an organization, you may first direct the request to its administrator.
9. Security and transfers
We apply technical and organizational measures designed to protect information against unauthorized access, loss, alteration, or disclosure. This includes access controls, credential protection, and security monitoring. No system is completely infallible, but we review these measures as the service evolves.
Information may be processed in countries other than yours by Visual Chats or its providers, with the safeguards required by applicable law.
10. Changes and contact
We may update this policy to reflect changes to the service, the law, or our practices. We will publish the current version at this same URL and update the date. If a change materially affects the use of Google data, we will show a notice and request new consent when appropriate.
For privacy questions or requests, use the support channel available in your Visual Chats account.
